Privacy Policy
Zephoriam is an automated phone assistant that answers calls for the businesses that use it (our "customers": any business that takes calls and books appointments, from clinics and dental offices to salons, trades and professional firms). If you call one of those businesses, the assistant may speak with you, take a message, book, move or cancel an appointment, and — only if you say yes on the call — follow up by text. This page says what we record, why, who can see it, and how to stop.
What we record
- The phone number you called from, the number you called, and the time of the call.
- What was said on the call, as audio while the call is live and as text afterwards, so the business can act on your request and so both sides can see what was actually said.
- Appointment details you give us: your name, the date and time you asked for, and the reason for the visit if you state one.
- If you consent to texts: your yes, the exact words heard, and every message sent to or received from your number.
Why
To do what you asked on the call, to let the business's staff finish requests the assistant could not, and to keep an accurate, tamper-evident record of what was said and done. Records are append-only: nothing is edited or silently deleted; corrections are added as new entries.
Who can see it
Only the business you called, through its own staff accounts, and Zephoriam's operator for support and security. We do not sell or share your information for marketing, and we do not use it to train artificial-intelligence models. Recordings and transcripts are stored encrypted. Phone numbers are masked on screens by default.
Text messages
We send texts only about the appointment or request you called about, only after you agreed on the call, and only from a person at the business. Message frequency varies. Message and data rates may apply. Reply STOP at any time to stop all texts from that business; reply HELP for the business's name and phone number. Consent to texts is never a condition of receiving service by phone.
Automated decisions
The assistant may use a language model to help understand what you said. It never invents facts about you: it can only select from what is already on the record, and anything that changes an appointment or contacts you is either done by a person or confirmed with you first.
Your choices
You may ask the business you called to correct or delete your appointment details, subject to its own record-keeping obligations. You may stop texts at any time by replying STOP. Questions about this policy: hello@zephoriam.com.
Service providers
Calls and texts are carried by telecommunications providers (currently Twilio and Amazon Web Services) under their own terms; speech is transcribed by Amazon Transcribe; data is stored on Amazon Web Services in the United States.
Changes
We will post changes here with a new effective date.
